With the growth in electronic communication, the amount of data requiring review for litigation has increased exponentially. Businesses face many challenges in managing the fluctuations of an increasing workload. The final document count for legal projects regularly runs into tens of thousands or millions, placing a huge burden on law firms and their clients.
Document review is often the most expensive part of the litigation process and can be responsible for as much as 60% – 85% of the litigation budget. The human cost is high too with untenable pressure on legal teams to complete the review within exacting timeframes without compromising on quality.
As with all sectors, the legal sector has had to adapt to the “data mountain” to enable lawyers to identify the handful of documents which will ultimately decide the case.
Technology is used to process and ‘cull’ the number of documents to make the review manageable and efficient. Artificial intelligence enables the original dataset to be reduced by up to 90% through de-duplication, de-threading and the application of keyword searches.
As an example: an email sent to a number of recipients, who subsequently contribute, could quickly turn into 100 individual documents when viewed separately by sender. Technology enables us to combine an email thread into a single document and to exclude the duplicate documents, saving many hours of review time.
Once refined, the data needs to be reviewed by experienced document reviewers who know exactly which information is relevant and needs to be provided, as well as what should be withheld.
Document review for the purposes of any disclosure varies in both complexity and scale. The more complex a review becomes, the more experienced and qualified the reviewers need to be. There are also various levels of review depending upon the stages of the litigation.
A “first level” document review might, as an example, be conducted in order to establish relevance to the dispute and legal professional privilege (i.e. communications between the parties and their lawyers/experts prepared in contemplation of litigation).
A first level review of this nature is often carried out by more junior reviewers, usually law graduates, paralegals and/or junior lawyers. They often work alongside more experienced lawyers who quality-check a percentage of their electronic bundles to ensure consistency.
More complex reviews often require teams of senior paralegals and lawyers to “tag” documents against certain issues relevant to the case. For example, “Issue one” may relate to a certain date range. In that scenario, the document reviewers would be checking for relevance, privilege and would tag any documents that relate to “Issue one”.
Review teams work closely with and report to the law firm which has conduct of the case. The law firm in turn provides guidance regarding case and review strategy, quality and efficiency expectations.

Founded by lawyers in 2001 to provide bespoke legal and business process services, Global BPO understands the complexities and pressure points faced by law firms and businesses. They support a broad international client base including Global Top 10, UK Top 200 and smaller niche providers.
With increasing cost and time pressures and the advent of the Coronavirus pandemic, it is increasingly difficult for law firms to conduct document review in the traditional way. Teams are no longer able to sit together in large groups and most law firms have closed their environment. As a consequence, firms are adopting new cost-effective and streamlined ways of conducting e Disclosure review by using document review software and a specialist provider, such as Global BPO, for first, second and third pass reviews.
By providing document reviewers based in South Africa, we are able to offer significant costs savings to litigants and law firms. Law firms that are still using manual and paper-based disclosure management are able to save around 90% of the cost of their e-disclosure review. Law firms that use automation and artificial intelligence are able to save approximately 50% of the cost of document review by engaging with Global BPO.
These significant cost-efficiencies enable law firms to enhance their profitability, respond to their clients’ increasing cost sensitivities and strengthen their competitive edge.
Law firms are turning to document review specialists such as Global BPO for flexible and scalable solutions. It is as important for law firms to be able to scale down as it is to scale up. Legal process expertise is available on demand enabling firms to manage effectively the peaks and troughs of their increasing workload.

The law firm was required to meet various court-imposed deadlines in relation to a complex eDiscovery project involving approximately 60,000 documents with 10 tag issues and several sub-issues.
They did not have sufficient resources to handle the review internally and wanted to reduce the cost of the document review for their client. Having considered various local and international options, they decided to use Global BPO for the project.
Global BPO worked closely with the law firm to understand the details of the project and the pressure points faced in delivering a high quality and cost-effective service within a challenging timescale. The law firm was under pressure to commence the project without delay due to imminent court-imposed deadlines.
Global BPO obtained a detailed brief and held a series of meetings to agree communication protocols, quality control processes and the skillset and structure of the team. Due to the timeframe and complexity of the review, which required the documents to be sorted into 10 issues and several sub-issues, they determined that they should have a highly experienced team in place.
Speed of response and scalability were essential to ensure critical deadlines were met. Global BPO delivered a team of 10 qualified lawyers, a project director, a project manager and 3 quality controllers who started work on the project two weeks after receipt of the initial enquiry.
They received training on an unfamiliar proprietary review platform and due to the team’s review platform expertise, delivered the requisite review speeds within the first week. The team successfully reviewed more than 60,000 documents and the law firm requested an additional review of the opponent’s documents.
The entire project was completed within two months; final handover occurred well within court deadlines and the law firm was delighted with the team’s responsiveness, standard of service, cultural alignment and team integration.
Savings in excess of 50% were passed from the law firm directly to their client resulting in new business opportunities.Productivity rose, enabling the law firm to meet critical deadlines cost-effectively and efficiently. The quality, speed and consistency of the review were highly commended.
